Data Analyst and Process Improvement (Operational Excellence Specialist)

Purpose of the position

The Data Analyst & Operation Excellence role is the analytical and operational backbone of the Control Tower’s reporting and data governance function. The role is dedicated full-time to the Control Tower and owns the end-to-end lifecycle of its daily reporting operation — preparing, validating, and distributing recurring daily reports to a large external audience of customers and their respective freight forwarders (FFW) — while also driving data analytics, process improvement, and system optimization to enhance business performance.

Main Duties & Responsibilities

1. Daily Reporting Operations & Data Quality Governance

• Prepare, validate, and distribute approximately 6–7 recurring daily reports separately to 30+ external stakeholders, including customers and their respective freight forwarders (FFW), in line with each recipient’s required format and cutoff time.

• Maintain and continuously update a distribution tracker covering report types, audience lists, formats, cutoff times, and delivery confirmation status.

• Act as the primary point of contact with Control Tower Operations to govern data quality for daily reporting: identify missing, incomplete, or inconsistent data prior to each report cycle.

• Validate data discrepancies directly with Control Tower Operations and follow up proactively to obtain required corrections or feedback within the reporting timeline.

• Once CT feedback and updated data are received, combine and reconcile the data into the relevant reporting system/dashboard to ensure a single, accurate source of truth.

• Track recurring or systemic data quality issues and escalate root causes to the relevant process owners for permanent resolution.

2. Reporting & Data Analytics

• Develop and maintain operational, financial, and management reports and dashboards.

• Ensure data accuracy, consistency, and timely availability across reporting outputs.

• Support automation and data integration initiatives to improve reporting efficiency.

• Perform data analysis to identify trends, risks, and improvement opportunities.

• Support User Acceptance Testing (UAT) and validation of reporting enhancements.

3. Process Improvement & System Optimization

• Analyze existing operational processes and identify improvement opportunities.

• Support standardization and documentation of workflows and SOPs.

• Assist in implementing process improvements and monitoring results.

• Support testing of new or enhanced system functionalities.

• Coordinate with IT and users to resolve data, system, and process-related issues.

4. Stakeholder Engagement & Support

• Provide analytical and reporting support to operational and management teams.

• Translate data findings into clear insights and recommendations.

• Contribute to training and knowledge-sharing sessions for reports and processes.

• Work collaboratively with cross-functional teams, including Control Tower Operations, IT, and customers/FFWs, to support business needs.

• Bachelor's degree in Supply Chain, Logistics, Business, Data Analytics, or a related field; fresh graduates with strong analytical aptitude are welcome to apply.

• 0–1 year of experience in data analysis, reporting, or operations; prior exposure to logistics, freight forwarding, or a Control Tower environment is an advantage but not required.

• Working proficiency in Macro, Excel; exposure to Power BI, SQL, or similar reporting/dashboard tools is a plus — full training on tools and processes will be provided.

• Willingness to learn and reliably execute the end-to-end daily reporting and data validation process, including working directly with Control Tower Operations and external customers/FFWs.

• Strong attention to detail and accuracy, and comfort with repetitive, deadline-driven daily tasks.

• Good communication skills, with the confidence to follow up and ask questions to close out data gaps.

• Strong personal organization and time management, with the discipline to consistently meet recurring, non-negotiable deadlines.

• Familiarity with Control Tower / 4PL operations is a plus, not a prerequisite
