Sales Order Management
• Responsible for creation and processing a variety of sales order types in the ERP system in a timely and efficient manner.
• Support and work closely with the business teams to ensure all orders are processed through the entire order processing cycle to meet customers’ needs.
• Close liaison with warehouse on logistics & transportation co-ordination to ensure deliveries are well coordinated, duly delivered within the stipulated timeline.
• Troubleshoot on any logistics or orders related issues that may arise during the outbound process.
• Ensure adherence to Regulatory standards (checking products registration before order entry) including customs & export regulations.
• Provide high level of customer service through prompt and courteous communication to understand their requirement, obtain feedback on service performance.
• Attend to inquires by customers and on order delivery status.
• Provide guidance and/or intervene to swiftly resolve product quality issue, delivery disputes and invoice and product discrepancy. Keep superior informed and obtain appropriate guidance.
• Responsible for the monitoring, data compilation and achievement of all sales order management related Key Performance Indicators (KPIs) as determined by the corporate operations and management.
• Jointly responsible for the overall achievement of company revenue, inventory and customer fulfilment targets.
• Administration of incoming shipment and release of customers’ back orders from system for delivery.
• Take charge of sales returns, price and inventory adjustment requirements.
• Ensure expedition of delivery, installation, user acceptance testing and training with customer to ensure prompt invoicing process.
• Facilitate submission of relevant proof of delivery and related documents as required by customer, supporting timely collection of receivables.
• Jointly involve in project management to ensure coordination of tasks across departments, complete and accurate documentation, proof of product and service delivery and formal user acceptance.
• Miscellaneous duties as and when assigned by SOM Manager.
• Regularly audit the complete and accurate documentation and timely compilation of proof of delivery (POD) documents and record keeping. Ensure all documents are matched, completely accounted and filed in an orderly fashion.
• Responsible for supervising and reviewing the development, maintenance and updating of the Standard Operating Procedures and Policy manuals, and to strive for standardization where possible. Periodically audit the SOP with actual execution and address any non-conformance accordingly.
Management of consignment Orders
• Ensure efficient management of consignment orders between internal & external customers & ensuring all the POD documents are promptly returned for filing. This includes accurate tracking and follow up with said stakeholders on lean consignment stock management.
• Close monitoring and work closely with responsible sales team to aim for speedy receipt of hospitals' POs to bill off consignment goods.
Yêu cầu công việc
• Diploma / degree in accountancy or equivalent business-related professional qualifications.
• Preferably specializing in planning and reporting, corporate finance from large multi-national company.
• Minimum 3 years of relevant experience in the healthcare or medical device industry.
• Experience in healthcare industry is preferable but not essential.
• Able to work under tight deadlines and fast-paced environment.
• A hands-on person, self-motivated and able to work independently.
• Fluent in Vietnamese and English.
• Proficiency in Microsoft Office - in particular Excel.
• Working knowledge of ERP system, e.g., Microsoft Dynamics 365.
