About Us
SNF Vietnam is seeking a highly organized and proactive Operations Specialist to support the efficient execution of our logistics, inventory, warehouse, and administrative operations.
This position serves as the operational backbone of the business, coordinating import and export activities, managing logistics providers, monitoring inventory and warehouse performance, controlling logistics costs, and ensuring accurate operational documentation. The role also provides structured support to Technical Commerce activities and maintains smooth office operations.
The ideal candidate combines strong logistics and supply chain experience with excellent organizational skills, attention to detail, commercial awareness, and the ability to coordinate effectively with internal stakeholders and external service providers.
Key Responsibilities
A. Logistics & Supply Chain Operations (Primary Responsibility)
• Coordinate end-to-end import and export operations, including shipment booking, customs-related documentation, and delivery scheduling.
• Prepare, review, and maintain shipping documents, including invoices, packing lists, certificates, and transport documentation.
• Liaise with freight forwarders, shipping lines, customs brokers, and logistics service providers to ensure smooth cargo movement.
• Monitor shipment status and proactively manage delivery risks, delays, and operational exceptions.
• Review, validate, and negotiate logistics costs and local charges, including THC, documentation fees, detention, demurrage, handling, and transportation charges.
• Maintain accurate records of logistics transactions for audit, compliance, and internal control purposes.
• Ensure compliance with applicable Vietnamese import/export regulations and company policies.
• Support continuous improvement initiatives to increase logistics efficiency and reduce operational costs.
B. Inventory & Warehouse Management
• Monitor inventory levels and maintain accurate stock visibility.
• Coordinate closely with warehouse and third-party logistics providers (3PL) to ensure accurate receiving, storage, and dispatch activities.
• Conduct regular inventory reconciliations and investigate stock variances.
• Monitor warehouse performance, storage conditions, and handling quality.
• Control storage-related expenses and recommend actions to optimize warehouse utilization and reduce avoidable costs.
• Coordinate inventory movements to support customer deliveries and business requirements.
C. Order Fulfillment & Technical Commerce Support
• Support order-to-delivery execution by coordinating stock allocation, delivery planning, and shipment execution.
• Ensure timely communication of delivery status updates to internal stakeholders.
• Assist with customer documentation requests, delivery confirmations, and operational inquiries.
• Coordinate with Technical Commerce, Finance, and external service providers to resolve delivery-related issues.
• Maintain accurate operational records within company systems and reporting tools.
D. Vendor & Service Provider Management
• Maintain effective working relationships with freight forwarders, transport companies, warehouse providers, and other operational vendors.
• Monitor vendor performance against agreed service levels, cost targets, and operational requirements.
• Obtain and compare quotations to ensure competitive procurement of logistics and operational services.
• Support vendor evaluation, renewal, and performance improvement activities.
E. Office Administration & Business Support
• Maintain office facilities, supplies, equipment, and operational continuity.
• Coordinate courier services and document dispatch activities.
• Arrange travel bookings, accommodation, and logistics for business trips.
• Support meeting coordination and general administrative requirements.
• Maintain organized filing systems and administrative records.
• Provide ad hoc operational and administrative support as assigned by the Business Operations Manager.
Qualifications & Experience

Education
• Bachelor's degree in Supply Chain Management, Logistics, International Business, Business Administration, or a related discipline.
Experience
• Minimum 2–4 years of experience in logistics, supply chain, import/export coordination, warehouse administration, or operational support.
• Experience working with freight forwarders, customs brokers, shipping lines, or logistics service providers.
• Experience in inventory management, warehouse coordination, or 3PL environments is highly desirable.
• Experience in multinational companies is an advantage.
Technical Skills
• Strong understanding of import/export processes and shipping documentation.
• Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint.
• Experience with ERP, inventory, or logistics management systems is preferred.
• Ability to analyze logistics costs and identify cost optimization opportunities.
