Odoo (Vindoo) Systems Manager

Role Purpose
Lead the implementation, ongoing administration, and continuous improvement of the company's Odoo-based ERP system (deployed via Vindoo), while acting as the primary point of contact for general IT support, hardware, and staff systems training across the organisation. This is a hands-on, build-and-run role covering both ERP ownership and day-to-day IT operations for a scaling manufacturing business.
Key Responsibilities
1. ERP Implementation (Odoo / Vindoo)
• Act as internal project lead for the Vindoo ERP implementation, working directly with Vindoo's implementation team and Interpod's in-house Odoo developer.
• Own the rollout of the two-company Odoo structure (Two product lines within the same company) with n-stream architecture supporting Interpod OEM, Kubikle, and future aluminium extrusion business lines.
• Configure and maintain stream-level P&L reporting, the 70/30 overhead allocation policy, and customer-level prefixing (KBKL/INTP/EXTR).
• Manage the integration between Vindoo/Odoo and MISA for Vietnamese statutory accounting.
• Translate business requirements from Finance, Operations, Supply Chain, and QC into ERP configuration (modules, workflows, approval chains, reporting).
2. Ongoing ERP Administration & Maintenance
• Own day-to-day system administration: user access management, module configuration, workflow updates, and data integrity across the ERP.
• Manage the relationship with Vindoo as the ongoing ERP vendor/support partner, including issue escalation and change requests.
• Maintain documentation of system configuration, business processes, and standard operating procedures within the ERP.
• Support data migration, backups, and system upgrades as the company scales across additional modules and business streams.
3. Staff Training & Change Management
• Design and deliver ERP training programmes for new and existing staff across departments (Production, QC, Supply Chain, Finance, HR), particularly during the Cubepark relocation and workforce ramp-up.
• Create user guides and training materials tailored to different departments' workflows within the ERP.
• Act as first-line internal support for ERP-related user queries and issues, escalating to Vindoo where required.
4. General IT Support & Hardware
• Set up the initial hardware and software for the new Cubepark factory.
• Assist in procurement of all hardware and software required for the set-up.
• Manage day-to-day IT infrastructure and support for the office and factory, including network, email (Spacemail), AutoCAD, and general hardware.
• Own hardware procurement recommendations, setup, and lifecycle management for office and factory staff (laptops, workstations, factory-floor devices/tablets, printers, network equipment).
• Provide general troubleshooting and IT support to staff across MPM.
• Support IT security basics — access control, data protection practices, and safe handling of commercially sensitive data (contracts, IP, financials) — including evaluation of AI/software tools against data jurisdiction requirements.
• Advise on and help manage IT vendor relationships and software licensing (e.g. productivity, design, and collaboration tools) across the organisation.

• Minimum 4–6 years' experience in ERP implementation and administration, with hands-on Odoo experience essential.
• Demonstrated experience implementing or managing Odoo (or Vindoo specifically) in a manufacturing or multi-entity trading environment strongly preferred.
• Solid general IT support background — networking, hardware, email systems, basic security practices — able to operate as a generalist in a lean team.
• Experience training non-technical staff on new systems, with strong communication skills in both Vietnamese and English.
• Comfortable working directly with external implementation partners (Vindoo) and international stakeholders (Interpod's Odoo developer, Australia-based team).
• Self-starter capable of owning both strategic ERP rollout and reactive day-to-day IT support in a fast-scaling, founder-led business.
