Ocean Export Executive (Freight Forwarding | Eu-Non TP)

We are looking for an experienced Ocean Export Operation Executive to join our Ho Chi Minh team. This role is responsible for handling Non-TP export shipments with a primary focus on the Europe trade lane. The ideal candidate should have solid freight forwarding experience, hands-on ICS2 filing knowledge, and the ability to manage shipments independently with high accuracy.

Job Description:

• Independently manage Ocean Export shipments for Non-TP trade lanes, with primary focus on Europe (EU), from booking confirmation to cargo departure and documentation completion, ensuring compliance with company SOPs, carrier requirements, and international trade regulations.

• Receive booking requests and shipment instructions from customers, overseas agents, and the Sales team; arrange bookings with carriers, co-loaders, and overseas agents.

• Prepare, review, and issue all required export shipping documents, including Shipping Instructions (SI), Bill of Lading (B/L), VGM, pre-alerts, export manifests, and other operational documents.

• Perform ICS2 filing accurately and on time for applicable EU export shipments.

• Proactively monitor shipment progress and coordinate with carriers, overseas agents, trucking vendors, customers, and internal departments to ensure smooth shipment execution and timely cargo departure.

• Handle shipment exceptions, schedule changes, documentation discrepancies, and customer inquiries promptly while providing timely updates to all related parties.

• Prepare Debit Notes, verify operational costs, and coordinate payment processing with the Finance team.

• Maintain accurate shipment records and ensure all operational data is updated in the operating system in a timely manner.

• Escalate operational risks, irregularities, and customer complaints to the Manager promptly with appropriate solutions.

• Hands-on experience in ICS2 filing is mandatory.

• Minimum 3 years of hands-on experience in Ocean Export Freight Forwarding Operations, preferably handling Non-TP shipments.

• Solid experience with Europe (EU) trade lane is required.

• Experience in TP trade lane will be considered a strong advantage.

• Experience working with major shipping lines (e.g. CMA CGM, MSC, Maersk, ONE, Hapag-Lloyd, COSCO, etc.) is preferred.

• Good knowledge of export documentation, shipping procedures, and international freight forwarding operations.

• Good written English communication skills.

• Ability to work independently as well as collaboratively in a fast-paced environment.

• Meticulous and detail-oriented, with a strong sense of responsibility and commitment to accuracy in documentation, ICS2 filing, and daily operations.

• Able to manage multiple shipments with high accuracy while meeting tight deadlines.

• Strong problem-solving, communication, and coordination skills.
