Logistics & Freight Coordinator – Vietnam

Job Summary

We are seeking an experienced Logistics & Freight Specialist to manage and coordinate international and domestic freight operations in Vietnam. The role requires strong knowledge of freight processes, documentation, service provider coordination, and logistics reporting. The ideal candidate must be fluent in English and Vietnamese, detail-oriented, and capable of ensuring compliance, cost accuracy, and on-time logistics execution.

Key Responsibilities

Freight & Logistics Operations

• Coordinate and manage international and local freight operations, including air, sea, and road transportation.

• Ensure compliance with import/export regulations, local logistics requirements, and international trade practices.

• Liaise with freight forwarders, carriers, customs brokers, and internal stakeholders to ensure smooth shipment execution.

• Monitor shipment progress and proactively resolve delays, discrepancies, or service issues.

Documentation & Compliance

• Prepare, review, and manage international freight documentation, including but not limited to:

• Commercial Invoices

• Packing Lists

• Bills of Lading / Air Waybills

• Certificates of Origin

• Other regulatory and shipping documents

• Ensure documents are accurate, complete, and compliant with applicable local and international trade requirements.

• Maintain proper records for audit and compliance purposes.

Reporting & Data Management

• Prepare and submit monthly, quarterly, and annual logistics reports, covering freight costs, shipment performance, KPIs, and service-level metrics.

• Analyze logistics data to identify cost-saving opportunities, efficiency improvements, and performance trends.

• Provide management with insights and actionable recommendations based on logistics reporting.

Vendor & Invoice Management

• Verify logistics service provider invoices against contractual terms, rate agreements, and shipment records.

• Ensure accuracy of freight charges, surcharges, and additional service fees.

• Coordinate with service providers to resolve billing discrepancies in a timely manner.

• Submit approved invoices to the finance team for timely payment processing, ensuring adherence to internal controls.

Experience & Knowledge

• 3–5 years of hands-on experience in logistics and freight operations, preferably in an

international trade environment.

• Strong understanding of international and domestic freight processes, regulations, and

operational requirements.

• In-depth knowledge of freight and shipping documentation and their commercial and

regulatory significance.

Language & Communication

• Fluent verbal and written proficiency in English and Vietnamese (mandatory).

• Ability to communicate effectively with global stakeholders, vendors, and internal teams.

Technical & Analytical Skills

• Proficient in logistics reporting, data analysis, and KPI tracking.

• Strong attention to detail for document review and invoice validation.

• Good working knowledge of MS Office tools (Excel, Word, PowerPoint); experience with ERP or

logistics systems is an advantage.

Preferred Qualifications

• Bachelor’s degree in supply chain, international Trade, Business, or a related field

• Experience working with multinational companies or global supply chains.

• Familiarity with Incoterms® and international trade compliance practices.

• Exposure to cost optimization initiatives and logistics process improvement.
