Traffic & Logistics Manager – Asia

Job Purpose

As part of our continued growth, we are looking for a Traffic & Logistics Manager – Asia to join our international team.

The position will initially be home-based in Vietnam, working remotely with our international trading and management teams. As our operations in Asia continue to grow, there may be opportunities to develop the local setup and potentially work from a local office in Vietnam in the future.

In this role, you will be responsible for coordinating the international logistics and shipment processes for both our coffee trading business and our chemical trading activities. You will work closely with suppliers, customers, freight forwarders, shipping lines, warehouses, and our international trading teams.

Your Responsibilities

International Traffic & Logistics

• Coordinate international shipments from Asia to customers worldwide.

• Manage the complete logistics process from shipment planning through to final delivery.

• Arrange and follow up on bookings with shipping lines and freight forwarders.

• Monitor container availability, loading schedules, vessel departures, transshipments, and arrivals.

• Track shipments and proactively identify and resolve potential delays.

• Coordinate container loading with suppliers, exporters, warehouses, and trucking companies.

• Maintain an accurate overview of all open, in-transit, and completed shipments.

• Work closely with the trading team to ensure shipments are executed according to contracts and agreed Incoterms.

Coffee Trading Logistics

• Coordinate the logistics of green coffee shipments from Vietnam and other Asian origins.

• Communicate with coffee suppliers, exporters, warehouses, and logistics providers.

• Follow up on coffee availability and readiness for shipment.

• Coordinate loading schedules and ensure shipments are executed according to agreed timelines.

• Manage shipping and export documentation for coffee shipments.

• Support the trading team with shipment status updates and logistics planning.

• Coordinate relevant certification and export documentation where required, including Organic, Rainforest Alliance, Fairtrade, and other certifications.

Chemical Trading Logistics

• Coordinate international shipments of chemical products from suppliers to customers.

• Work closely with suppliers, customers, freight forwarders, shipping lines, warehouses, and transport companies.

• Coordinate container bookings and shipment schedules.

• Follow up on export and import documentation and ensure all documents are complete and accurate.

• Coordinate documentation such as commercial invoices, packing lists, Bills of Lading, Certificates of Origin, and Safety Data Sheets (SDS/MSDS).

• Ensure shipments comply with relevant transport and documentation requirements for chemical products.

• Monitor shipment costs and additional charges such as demurrage, detention, storage, and trucking.

• Support the chemical trading team with logistics-related questions and operational issues.

Documentation & Administration

• Prepare, check, and coordinate shipping and export documentation.

• Ensure documents are accurate and available within agreed deadlines.

• Coordinate the timely submission of documents to customers, banks, insurers, and other relevant parties.

• Identify and resolve documentation discrepancies before they result in shipment delays.

• Maintain accurate shipment information in the company's ERP and logistics systems.

• Ensure all shipment and logistics data is updated correctly and on time.

Freight & Cost Control

• Request and compare freight quotations when required.

• Maintain good working relationships with shipping lines, freight forwarders, trucking companies, warehouses, and other logistics providers.

• Monitor freight and logistics costs.

• Check freight and logistics invoices for accuracy.

• Investigate unexpected or additional charges.

• Help identify opportunities to improve logistics efficiency and reduce costs.

Communication & Coordination

You will act as an important link between our international trading teams and our logistics partners.

You will communicate regularly with:

• Suppliers and exporters

• Customers

• Shipping lines

• Freight forwarders

• Warehouses

• Trucking companies

• Customs brokers

• Inspection companies

• Internal trading and management teams

You will be expected to proactively follow up on shipments and communicate potential problems before they become major issues.

• 2–5 years of relevant experience in international logistics, shipping, freight forwarding, or supply chain management.

• Experience with international container shipments.

• Good understanding of shipping and export documentation.

• Experience working with shipping lines and/or freight forwarders.

• Strong organizational and coordination skills.

• Ability to manage multiple shipments and deadlines at the same time.

• Strong attention to detail.

• Good problem-solving and communication skills.

• Good command of English, both written and spoken.

• Good knowledge of Microsoft Office, particularly Excel.

• Comfortable working independently in a home-based / remote position.
