ABOUT THE ROLE
We are seeking a proactive and organised TAX & ACCOUNTING ADMINISTRATOR to support the day-to-day operations of our growing Australian accounting practice.
This role involves client communication, document and workflow management, compliance administration, invoicing, and general administrative support.
KEY RESPONSIBILITIES
Client Services & Administration
• Act as the first point of contact for client enquiries via phone and email, ensuring a professional and positive client experience.
• Communicate with clients professionally and confidently, particularly within an Australian business context.
• Prepare and manage professional correspondence and documentation, including engagement letters, client communications, and accountants’ letters.
• Follow up with clients regarding outstanding documentation, information requests, and return signing requirements.
• Schedule and manage appointments and meetings for team members.
• Manage client portal access and coordinate secure document sharing using SharePoint and other relevant platforms.
• Maintain a professional, responsive, and client-focused experience across all interactions.
• Oversee the assembly, finalisation, and distribution of tax returns and financial documents.
• Maintain accurate workflow records within XPM and other practice management systems.
• Raise invoices in Xero upon completion of jobs and ensure billing accuracy.
• Assist with payment follow-ups and debtor management.
• Maintain accurate, secure, and up-to-date client records using specialised tax and accounting software such as Xero Practice Manager, ATOMate, and SharePoint.
• Maintain and uphold effective filing systems and document archives.
• Assist with general administrative duties and provide operational support to the accounting team as required.
Practice & Workflow Support
• Maintain accurate workflow records and update job status in practice management systems.
• Coordinate tasks and deadlines across the accounting team.
• Ensure documents and client information are complete and available when required.
• Assist with the smooth flow of jobs from preparation through to completion.
• Identify and follow up on outstanding tasks to help the team meet deadlines.
Team Support & Continuous Improvement
• Take ownership of assigned tasks and follow them through to completion.
• Be proactive in identifying issues and finding practical solutions.
• Ask questions when clarification is needed and actively seek to learn.
• Learn new systems and processes quickly.
• Support team members and contribute to improving administrative processes.
Yêu cầu công việc
• Certificate, Diploma or Degree in relevant subjects, e.g. tax, accounting,finance, etc
• Excellent command of English (both written and spoken).
• Strong client relationship and communication skills.
• Experience in client services, accounting, or professional services.
• Experience working for an Australian business/accounting firm is highly desirable.
• Good understanding of Australian business practices and professional communication.
• High attention to detail and accuracy.
• Proactive, responsible, and willing to learn.
• Not afraid to ask questions, try new things, and take on challenging tasks.
• Ability to work independently and as part of a team.
• Experience with Xero, XPM, or SharePoint is an advantage.
