The Senior General Affairs Specialist plays a critical role in overseeing, optimizing, and executing the company's daily administrative operations, facility logistics, and core HR compliance tasks. This position acts as the primary local point for expat mobility services and ensures all employee labor relations documentation strictly complies with local labor laws. The ideal candidate will bring a blend of strategic cost-optimization and strong hands-on execution.
HR Administration & Expat Management (40%)
- Expat Mobility Services: Take full ownership of end-to-end legal formalities & coordinate with vendors for foreign employees (expats), including foreign labor approval certificates, Work Permits, Temporary Residence Cards (TRC), and business visas.
- Employee Database & Onboarding Admin: Maintain, update, and audit accurate digital and physical employee profiles. Collaborate with HRBP to prepare logistics, welcome packages, and administrative setups for new hires.
- Time attendance support: Consolidate monthly attendance data, leave records, and administrative deductions to support the payroll process.
General Affairs & Facility Logistics (40%)
- Office & Asset Management: Oversee daily office operations, utilities, and general maintenance. Manage the procurement, tracking, and annual inventory of all company fixed assets and office supplies.
- Vendor & Procurement Management: Source, negotiate, and manage contracts with external service vendors (security, cleaning, hotels, airlines, and office rentals) to ensure maximum cost-efficiency and service quality.
- Event & Travel Coordination: Lead the administrative planning and logistics for corporate events (Year-End Party, Company Trips, team bonding) and manage business travel arrangements for employees and management.
- Company internal events: Support the administrative for company internal events (Monthly All-hand, Anniversary,..)
Monthly Payment & Office Budget Control (20%)
- Monthly payment: Take full charge of preparing, verifying, and processing monthly payment requests for all HR and Non-HR operational expenses (e.g., employee benefits, office utilities, vendor invoices, expat services)
- Expense Tracking & Budget Optimization: Collaborate closely with the Finance/Accounting department to track expenditures and ensure proper cost-center allocation; monitor monthly spending against the approved budget to identify cost-saving opportunities during vendor reviews.
Yêu cầu công việc
- Minimum of 4–5 years of progressive experience in General Affairs, Administration, or HR Operations, with at least 2 years in a Senior capacity.
- Proven track record in successfully processing Work Permits and Temporary Residence Cards (TRC) for foreign expats
- Knowledge of Vietnamese Labor Law, immigration regulations, and corporate administrative compliance.
- Excellent negotiation and vendor management skills.
- Strong problem-solving capability with a proactive, result-oriented mindset.
- High meticulousness and organizational skills to handle sensitive employee documentation.
- Professional proficiency in English (both written and verbal) to effectively support foreign expats and stakeholders.
