Job Summary
Responsible for coordinating overseas customer orders, production schedules, shipments, customer visits, and delivery requirements. Act as the key interface between customers and internal teams such as Sales, Production, Supply Chain, Logistics, Quality, and Finance to ensure smooth order fulfillment and a high-quality customer experience.
Key Responsibilities
·         Manage customer orders, delivery schedules, and shipment arrangements for overseas customers.
·         Coordinate production and shipping schedules based on customer demand, FCST, PO, and delivery requirements.
·         Monitor order status from PO receipt through production, shipment, and delivery.
·         Coordinate with internal teams including Production, Planning, Supply Chain, Quality, Logistics, and Finance to resolve delivery issues.
·         Communicate with customers regarding order status, shipment schedules, ETD/ETA, and delivery changes.
·         Prepare and maintain shipping documents, commercial invoices, packing lists, and other export-related documents.
·         Monitor inventory and production capacity to identify potential supply constraints and delivery risks.
·         Manage changes to customer demand, delivery dates, and shipment quantities, and negotiate adjustments when necessary.
·         Handle customer inquiries and complaints related to delivery, shipment, quantity, and order status.
·         Track shipment performance and provide regular reports to management and customers.
·         Support improvement of order management, shipping processes, SOPs, and operational workflows.
Customer Visit Coordination
·         Coordinate and manage all arrangements for overseas customer visits to the factory.
·         Communicate with customers in advance to confirm visit dates, objectives, agenda, participants, and required facilities.
·         Coordinate visitor registration, factory access, security requirements, meeting rooms, transportation, meals, and other logistics.
·         Ensure all customer visit requirements are communicated to relevant teams in advance and that the factory is fully prepared before the customer's arrival.
·         Act as the primary coordinator during customer visits and support communication and issue resolution throughout the visit.
·         Follow up on action items, customer requests, and improvement points after the visit and coordinate with responsible teams until closure.
Required Qualifications
·         2+ years of experience in overseas sales, sales operations, supply chain, logistics, customer management, or order management.
·         Experience working with overseas customers and cross-functional teams.
·         Business-level Chinese & conversational English skills.
·         Strong Excel and data analysis skills.
·         Ability to manage multiple orders, deadlines, customer requirements, and stakeholders simultaneously.
·         Strong communication, coordination, and problem-solving skills.
·         Strong organizational skills and attention to detail, particularly when coordinating customer visits and time-sensitive activities.
Preferred Qualifications
·         Experience in manufacturing or electronics industries.
·         Experience with SAP or other order management systems.
·         Experience with international shipping and Incoterms.
·         Experience managing customer FCST, PO, and delivery schedules.
