Sales Admin (Foundry Division)

ROLE OVERVIEW

Vesuvius Vietnam is looking for a dynamic Customer Service Executive to join our Foundry team. In this role, you will serve as a vital operational bridge, managing and coordinating daily Sales Coordination, Customer Service, and Purchasing/Import operations to ensure exceptional customer satisfaction and smooth supply chain execution.

KEY RESPONSIBILITIES

1. Sales Coordination

• Order Processing: Receive and process Sales Orders (SO) in SAP; coordinate with 3rd-party logistics (3PL) warehouses for packing, dispatching, and timely delivery.

• Customer Support: Handle inquiries, issue quotations, track shipment statuses, and address post-delivery customer feedback.

• Inventory & AR Control: Monitor stock levels and reorder points; perform monthly stock reconciliations between SAP and 3PL physical inventory; assist with Accounts Receivable (AR) collection following cash sales policies (CMR).

• Sales Team Support: Assist sales engineers with pricing, inventory updates, and documentation; optimize distribution costs and maintain up-to-date customer price lists.

2. Purchasing & Import Operations

• Purchase Order (PO) Management: Track ePR approvals, generate POs in SAP, and follow up on order acknowledgments with suppliers (Interco & 3rd party).

• Import & Customs Clearance: Liaise with suppliers and freight forwarders for shipping documents and customs clearance (ensuring accurate HS codes, import duties, and DG cargo compliance while avoiding demurrage charges).

• GRN & Documentation: Process Goods Receive Notes (GRN) upon stock arrival, verify packing lists, and collaborate with Finance for landed cost calculation and payment scheduling.

• Cost Optimization: Negotiate lead times and rates with 3rd-party suppliers, forwarders, and warehouses to optimize operational expenses (OPEX).

REQUIREMENTS

• Education: Bachelor’s degree or Diploma in Business Administration, Logistics, Supply Chain, Foreign Trade, or a related field.

• Experience: Proven experience in Customer Service, Sales Administration, Procurement, Logistics, or Import/Export & Customs Clearance.

• Languages: Good command of both written and spoken English and Vietnamese.

• Technical Skills: Hands-on experience with SAP is highly preferred; familiarity with customs procedures, HS codes, and shipping documentation.

• Soft Skills:

o High EQ with excellent interpersonal and communication skills.

o Highly motivated self-starter with a proactive mindset.

o Flexibility and ability to thrive under pressure. (Knowledge of the Foundry or Chemical industry is a plus).
