In this role, you will own the end-to-end import process for our Korean personal care portfolio — from import documentation through customs clearance, duty optimization and payment settlement — working in day-to-day alignment with HQ (Korea), customs brokers and regulatory authorities. Beyond import, you will manage the downstream logistics flow with our 3PL partner and sales channels (OBS/e-Commerce/MBS. This role suits someone who wants to build deep expertise in import compliance and FTA duty optimization while retaining full visibility of the wider supply chain.
Principal Accountabilities
(All accountabilities of the role)
1. Import Operation (50%)
1.1 Import Documentation & Customs Clearance
o Verify the full import document set (Commercial Invoice, Packing List, B/L or AWB, C/O, insurance certificate…) for accuracy and consistency before declaration; resolve discrepancies with HQ prior to shipment arrival.
o Own C/O Form KV (VKFTA) management for Korea–Vietnam shipments: validate issuing authority, origin criteria, third-party invoicing and submission deadlines to secure preferential duty rates and prevent avoidable duty loss.
o Work with forwarders on declaration, clearance, quarantine and any port or authority inspection; own resolution of clearance issues.
o Maintain the import document archive and respond to post-clearance audit requests from customs authorities.
o Track shipments from HQ to warehouse receipt; escalate delays proactively and manage demurrage/detention exposure.
1.2 Import Payment & Landed Cost Control
o Prepare and verify import payment documentation with HQ & Finance;
o Check duty, VAT, freight and forwarder invoices against applicable tariffs before approval.
o Track landed cost by shipment and identify saving opportunities.
2. Logistics & Inventory Operation (30%)
o Daily order fulfillment (STO to stores, SO to customers, FOC) and inventory management with SAP (Processing, Monitoring and Expediting). Handle shortage/damaged goods if any.
o Maintain high levels of inventory accuracy through regular stock takes.
o Ensure accurate inventory management, and correcting sales errors during the monthly closing cycle.
o Provide support throughout the inventory write-off process, including documentation, verification, and system updates for expired or damaged products.
2.1. 3PL Coordination & Delivery Planning
o Act as the primary day-to-day liaison between AP and the 3PL to ensure on-time, in-full delivery across all channels.
o Coordinate with the 3PL and Sales teams on delivery scheduling and order processing as per plan.
2.2. Order Fulfillment & Inventory Accuracy
o Execute daily order fulfillment on SAP (STO/SO/ FOC…) — processing, monitoring and expediting;
o Maintain inventory accuracy through regular stock takes and monthly system-vs-physical reconciliation at both warehouse and counter level; investigate and close discrepancies.
o Support the inventory write-off and disposal process: documentation, verification, approval routing and system posting for expired or damaged products.
3. Reporting, Cost Management and others (20%)
o Manage logistics costs and monitor the 3PL’s KPI performance on a monthly basis; raise service or cost issues with evidence.
o Maintain SCM master data on SAP and ensure ongoing data integrity across systems.
o Prepare the monthly logistics and import report, including cost analysis, issue log and improvement actions; ensure timely monthly closing.
o Perform other duties as assigned by the Supply Chain Manager.
Essential Requirements (Qualification and experience, personal skills and attributes) Qualification and experience: - 3–5 years of experience in import operations, logistics or supply chain — preferably in cosmetics, FMCG or a Korean-invested company. - Strong hands-on experience in import is required, including customs declaration, document verification and clearance issue handling. - Solid working knowledge of C/O Form KV (VKFTA) — origin criteria, issuing authority, third-party invoicing and submission timelines — with a proven track record of securing preferential duty rates. - Familiar with HS code classification, import duty/VAT calculation and post-clearance audit requirements. - Advanced Excel is required —comfort working with large data sets for reconciliation and cost analysis. - Strong SAP skills; proficiency in MS Office. - Good English for daily communication with HQ (Korea).
