Export Documentation Executive

Key Responsibilities:

• Prepare, check and process export shipping documentation, including Commercial Invoice, Packing List, Bill of Lading (HBL/MBL), Shipping Instruction (SI), VGM, Certificate of Origin (C/O) and other relevant documents.

• Coordinate with shipping lines, overseas agents, freight forwarders, customs brokers and other relevant parties to ensure documents are submitted accurately and within the required deadlines.

• Check shipping documents against booking details and customer instructions to ensure accuracy and completeness.

• Prepare and submit shipping instructions, manifest information, VGM and other required shipping declarations as applicable.

• Monitor vessel schedules, cut-off times, ETD/ETA and other shipment milestones, and ensure all documentation is completed before the relevant deadlines.

• Prepare and send pre-alert and shipping documents to overseas agents and customers where required.

• Follow up on Bill of Lading issuance, amendments, release instructions and other documentation matters.

• Maintain accurate shipment records and update relevant information in the company's internal systems.

• Coordinate with the Operations and Customer Service teams to ensure smooth shipment execution and timely completion of documentation.

• Handle document amendments, discrepancies and other documentation-related issues in a timely manner.

• Ensure proper filing and maintenance of shipping documents and records.

• Perform other duties and administrative tasks as assigned by the Team Leader / Manager.

• 1–2 years of experience in freight forwarding, shipping, logistics or a related field, preferably with experience in export documentation.

• Good understanding of export procedures and freight forwarding documentation.

• Familiarity with shipping documents such as HBL/MBL, SI, VGM, Manifest, C/O and pre-alert documents.

• Strong attention to detail and accuracy, with good document-checking skills.

• Good organizational and time-management skills, with the ability to meet strict cut-off times and deadlines.

• Good communication and coordination skills.

• Proficient in Microsoft Office, particularly Outlook, Word and Excel.

• Good command of English, both written and spoken.

• Ability to work independently as well as in a team and under pressure.

• Experience with freight forwarding systems or shipping lines' online platforms is an advantage.

Working Hours: 5.5 days/week

• Monday to Friday: 8:30 - 17:30 (including a 1.5-hour lunch break from 12:00 to 13:30)

• Saturday: 8:30 - 13:00 (Work from Home)
