Data Loading Executive

The Data Loading Executive supports the Contracting Manager in updating our tour management and distribution systems with the latest up to date data as well as, securing and maintaining hotel and supplier contracts across Vietnam. This role is responsible for the collection and input of annual contracts, rate management in the company system, and maintaining strong relationships with hotel and supplier partners.
Data Management o   Collect and manage annual contracts from hotels and cruise suppliers. o   Input room rates, meal rates, surcharges, cancellation policies, and promotions accurately into the company system. o   Review and resolve any discrepancies in rates or contract terms to ensure all data is correct and up to date. o   Invite suppliers to participate in the annual I-Cloud Tariff and report final advertising lists and totals to the Contracting Manager. o   Support the Contracting Manager in securing special offers for specific markets as assigned.
Contracting and Supplier Relations o   Arrange site inspections and negotiation meetings with hotel and supplier partners. o   Maintain strong and professional relationships with hotels, cruise companies, and other suppliers. o   Maintain good internal relationships with the Inbound, Accounting, and Operations departments. o   Follow up on credit facilities with partners and inform relevant internal departments accordingly. o   Respond to all supplier enquiries within 24–48 hours.
Reporting & Administration o   Report regularly to the Contracting Manager on any issues, problems, or complaints from partners. o   Ensure filing and documentation of all contracts is maintained in an orderly and accessible manner. o   Minimum 2 years’ experience in the travel industry, in hotel contracting within a DMC, or in hotel reservations or sales. o   Strong communication skills with fluency in English (written and spoken). o   Familiarity with data entry systems and travel software. o   Good negotiation and problem-solving skills. o   Ability to work independently as well as part of a team. o   Detail-oriented with a professional and positive attitude. o   Be familiar with our sustainability policy and code of conduct, and all things sustainable on the Responsible Travel page of our website.
