A hybrid seat, weighted heavily toward estimating with a contracts administration element

attached.

The estimating work spans both sales quoting and production estimating: preparing mark-ups

and issuing quotes in line with our pricing strategy and business initiatives, then taking won

projects over from Sales and converting them into fully detailed, build-ready jobs. The contracts

administration side carries ownership of insurances, compliance documentation, fleet and

project document control - recurring obligations with real consequences if they lapse, which

need someone who keeps them current without being chased. Much of this scope is being

consolidated into this seat from our current offshore administration role.

Location: 87 B4 Str., An Khanh Ward, Ho Chi Minh City

Working time: 5:30 AM - 2:30 PM, Mon - Fri & Sat morning (WFH)

Sales quoting

Prepare mark-ups for initial quoting.

Prepare and issue quotes in line with approved pricing strategy and current business initiatives.

Validate estimates for buildability, material selection and cost accuracy.

Support Sales during peak demand and on complex or high-value tenders.

Production estimating

Convert won projects into detailed jobs in the system.

Complete full quantity take-offs and confirm scope against final contract documents.

Define material, labor and subcontractor requirements so Project Managers can execute profitably.

Develop Scope of Works breakdowns and Material Take-Offs.

Complete job set-up handovers and feed construction outcomes back into estimating.

Procurement

Source best pricing for contract labor, equipment and materials.

Prepare purchase orders, track quotes and follow up deliveries.

Maintain the pricing library and supplier database.

Maintenance

Lead the maintenance program covering warranty, defect and post-project service.

Plan, schedule and document activities in line with client agreements and statutory obligations and prepare scopes for Operations.

Apply NCC, BCA and manufacturer standards to assess responsibility and protect our position in disputes.

Insurances

Keep company certificates of currency current.

Collect, verify and track subcontractor and supplier insurances, chasing renewals before they expire.

Issue certificates to builders and clients on request.

Compliance

Maintain and issue SWMS, white cards, inductions and safety and quality records, correctly versioned.

Complete subcontractor packs, prequalification questionnaires and builder portal submissions, following through on rejections until accepted.

Track expiries across licenses, tickets and certificates.

Fleet

Maintain the vehicle register: registrations, servicing and inspections, tolls and infringements.

Coordinate renewals so nothing lapses.

Document control

Organize, file and distribute project documents, drawings, specifications, contracts and change orders.

Keep tracking systems and registers current.

Liaise between site staff, suppliers and internal teams to clear bottlenecks.

Yêu cầu công việc

Bluebeam experience is essential, not a nice-to-have.

Minimum 2 years Australian construction experience

Strong estimating capability across materials, methods and sequencing; skilled in shop

drawings, take-offs and scope documentation.

Comfortable applying mark-ups and issuing client-facing quotes, with the judgement to

price in line with strategy rather than mechanically.

Contracts administration exposure in construction - insurances, compliance

documentation, subcontractor packs and registers.

- Highly organized, able to run concurrent quoting, estimating, procurement and

administrative workflows without dropping recurring obligations. -

Inquisitive - if a measurement or scope doesn't look right, we need someone who digs

until they understand it rather than estimating around it.

Proficiency in, or willingness to learn, Knack, Orbis Nevia and HubSpot.
