Business Planning Specialist

Job Summary

The Business Planning Specialist supports the planning, coordination, and execution of store development, renovation, and business improvement projects. The role is responsible for monitoring project progress, controlling budgets and timelines, coordinating with internal departments and external vendors, and ensuring projects are implemented in accordance with company standards and business objectives.

Location: Takashimaya Office, Room 602, 6th Floor, IPH Tower, 241 Xuan Thuy Street, Cau Giay District, Hanoi.

Key Responsibilities

1. Budgeting & Cost Control (35%)

Assist in tracking capital expenditure (CAPEX) projects and business initiatives.

Prepare and maintain project budgets, forecasts, and expenditure reports.

Coordinate equipment procurement and monitor purchasing schedules.

Support cost control activities and ensure expenditures align with approved budgets.

2. Reporting & Continuous Improvement (25%)

Track project progress, timelines, and deliverables across departments.

Prepare project reports, presentations, and status updates for management.

Follow up on project approvals and required documentation.

Identify opportunities to improve project processes and operational efficiency.

3. Project & Vendor Coordination (10%)

Coordinate with construction, design, and service vendors to ensure project requirements are met.

Update project schedules and maintain project documentation.

Prepare punch lists and follow up with vendors on outstanding issues.

Coordinate with internal stakeholders to facilitate project execution and communicate project updates.

4. Store Layout, Fixture Planning & Construction Support (10%) - This scope we will provide the training for candidate if lack this experience.

Support store layout planning, zoning, fixture allocation, and space optimization activities.

Coordinate with relevant departments on layout and design requirements.

Monitor construction, renovation, and installation works to ensure alignment with approved plans and timelines.

Assist in implementing new store concepts and improvement initiatives.

5. Quality Assurance & Compliance (10%)

Ensure project activities comply with company policies, brand standards, and technical requirements.

Conduct site inspections and monitor project quality during implementation.

Support compliance with safety and operational standards.

6. Other Duties (10%)

Participate in special projects and business initiatives as assigned.

Perform other duties and responsibilities as required by the Company.

Candidates without prior experience in store development, fixture planning, or construction management are welcome to apply. Comprehensive training and coaching will be provided to support successful onboarding and development in these areas.

· Bachelor's Degree in Business Administration, Project Management, Finance, Data Analytics, Retail Management, or related fields.

· Minimum 3–5 years of experience in Business Planning, Project Coordination, or Retail Operations.

· Strong organizational and coordination skills with the ability to manage multiple projects simultaneously.

· Good analytical and reporting skills.

· Proficient in Microsoft Excel, PowerPoint, and other Microsoft Office applications.

· Good communication and stakeholder management skills.

· English communication skills are preferred.
