Key Responsibilities
Leadership & Administrative Support:
• Manage schedules, appointments, meetings, and related logistics for designated member(s) of the Leadership Team
• Prepare, edit, format, and organize professional documents, reports, presentations, correspondence, memos, and internal communications
• Schedule and coordinate meetings, including booking rooms, preparing agendas and materials, taking minutes as directed, and tracking follow-up action items
• Maintain organized physical and digital records, files, calendars, deadlines, and documentation systems with appropriate confidentiality
• Conduct follow-up communications with staff, parents, and other stakeholders as directed
• Support school events and leadership activities, including logistics and materials preparation
Strategic & Project Support:
• Assist leadership in implementing strategic initiatives and priority projects
• Conduct research and support data collection, organization, and basic analysis for leadership projects and decision-making
• Track assigned projects, action items, deadlines, and follow-up to support timely completion
• Prepare summaries, briefing materials, presentations, and other supporting information as requested
• Contribute practical ideas and feedback to improve coordination, operational efficiency, and stakeholder engagement
Cross-Departmental Coordination:
• Coordinate with academic and administrative departments on assignments and projects led by Leadership
• Follow up with relevant departments to collect information, monitor progress, and ensure agreed actions are completed on time
• Support cross-departmental projects, meetings, and school-wide initiatives as assigned
• Help maintain clear and timely communication among leadership, departments, and relevant stakeholders
Communication, Translation & Stakeholder Support:
• Support leadership in professional communication and follow-up with parents, staff, community members, and external stakeholders
• Provide Vietnamese cultural and linguistic insight when needed to support effective communication and engagement
• Translate documents between Vietnamese and English with accuracy and professionalism
• Provide interpretation support during meetings, parent sessions, school events, and external engagements as required
• Ensure communication is clear, culturally appropriate, and aligned with school messaging
Confidentiality & Professional Conduct:
• Handle confidential school, employee, student, family, and leadership information with professionalism and discretion
• Exercise sound judgment regarding sensitive information and appropriate communication channels
• Maintain a professional, responsive, and service-oriented approach when working with leadership and diverse stakeholders
Other Leadership Support:
• Provide flexible support to different members of the Leadership Team based on changing school priorities and organizational needs
• Perform other reasonable duties and support priority projects as assigned by the designated supervisor or School Leadership Team

• Native-level fluency in Vietnamese and high professional proficiency in English (required)
• Strong written and verbal communication skills in both Vietnamese and English
• Previous experience in administrative, executive assistant, secretarial, project coordination, or similar office support roles preferred
• High level of organization, attention to detail, time management, and follow-through
• Ability to manage multiple projects, priorities, and deadlines with a proactive mindset
• Ability to handle confidential information with professionalism and discretion
• Strong interpersonal skills and ability to work effectively with leadership, staff, parents, and external stakeholders
• Proficiency in Google Workspace, Microsoft Office, and presentation tools
