Ocean Freight Documentation Specialist (Ho Chi Minh and Ha Noi)

1. Main tasks & key responsibilities

• Create and confirm transport orders to ensure pickup of the shipment at the origin

• Perform booking and booking optimization according to internal guidelines as defined by Product

• Prepare, control and distribute all required Import/ Export documents to counterparts (carrier, consignee, supplier, etc.) complying with regulations and internal procedures

• Check responses from counterparts and finalize validation of required documents

• Follow up on shipment status in the Import/ Export area, identify incidents and ensure resolution of incidents

• Support Customer Service in the incident and exception management resolution

• Maintain excellent relationships with suppliers

• Is responsible for identifying performance issues of suppliers and proposes solutions to improve/correct performance

• Perform IT systems-related tasks to provide up-to-date information on shipment

• Interact with Customer Service, Product, and Global Service Centers, if required

2. Requirements

• Extensive knowledge of Ocean Freight Operations

• Bachelor's degree in International Business/ Supply Chain Management/ Import - Export

• At least 2-3 years of experience in Ocean Freight Operations

• Good English communication/writing skills

• Good administrative skills

• Hard-working, able to work under pressure

• Results-driven and attention-to-details
