Logistics Specialist (Customs Clearance)

1. ROLE PURPOSE

To ensure seamless, fully compliant, and timely customs clearance and freight operations. The role serves as a primary operational contact point between Clients, Customs Authorities, Vendors, and Internal Teams - delivering high-quality logistics services, maintaining strict regulatory compliance, optimizing operational costs, and driving strong customer satisfaction.

2. KEY ACCOUNTABILITIES

A. Customs Clearance Operations Coordination:

• Client Engagement:

- Act as the direct operational contact point for clients regarding customs clearance procedures.

- Proactively communicate with clients to collect required cargo details, product specifications, MSDS, and shipping documents.

- Provide professional guidance to clients on customs compliance, regulatory requirements, duty estimates, and necessary import/export permits.

• Vendor & Service Provider Coordination:

- Contact and coordinate with key vendors (trucking companies, warehouses, inspection centers, handling agents, and port authorities) to schedule and execute clearance and delivery tasks.

- Instruct vendors on operational requirements and closely monitor their execution to perform the customs clearance procedures smoothly.

• Customs Clearance Execution & Support:

- Audit and verify complete import/export documentation packages (Commercial Invoice, Packing List, C/O, B/L, Contracts, Permits, etc.) for accuracy and regulatory compliance.

- Prepare and coordinate with vendors / partners to submit e-customs declarations via the VNACCS system across various declaration types (e.g., A11, A12, E31, E62, E52, G11, etc.).

- Register and track specialized inspection procedures (quality inspection, chemical declaration, etc.) with relevant government authorities/vendors.

- Coordinate closely with the Customs Field Operations team to follow up handling of Yellow and Red Channel inspections.

- Assist in resolving customs inquiries regarding valuation, HS Code disputes, or policy queries with customs officers.

- Monitor clearance progress to ensure timely customs release, cargo pickup, and final delivery to the client's destination.

B. Documentation, Billing:

- Complete full documentation packages (checklists, calculation sheets, customs sheets, delivery notes) before passing files to the Finance for job closing.

- Issue invoices to clients/agents and review, verify, and post vendor invoices for timely payment processing.

- Support the Finance department in monitoring accounts receivable and following up on customer payments.

C. Problem Solving & Continuous Improvement:

- Proactively resolve operational issues relating to customs procedures, duty calculations, or extra storage/demurrage charges.

- Collaborate with Sales, agents, carriers, and customs authorities to continuously improve service delivery standards and minimize cost impacts.

- Perform other tasks assigned by the Manager.

• Bachelor’s degree in Sales, Business Administration, Foreign Trade, or a relevant field

• At least 5 years of relevant experience in import and export operations in international freight forwarding

• Solid knowledge/experience in import and export handling is required. Experience in customs clearance and trucking arrangements is an advantage.

• Fluent in both spoken and written English.

• Proficient in standard Microsoft Office applications.

• Strong operational management and problem-solving skills.

• Good negotiation skills with both customers and suppliers.

• Ability to work independently, under pressure, and overtime to meet deadlines.

• Well-disciplined, highly accountable, well-organized, and collaborative with a strong teamwork mindset.
