IT Operations Specialist

Job Purpose: The IT Operations Specialist is responsible for supporting IT operational activities, workflow implementation initiatives, and cross-functional coordination to ensure smooth execution of system-related operations and improvement projects.

Key Responsibilities:

 (1)   IT Operations & Project Coordination (40%)

-  Coordinate daily operational activities related to IT systems, workflow enhancements, and operational improvement initiatives.

-  Track project progress, follow up action items, and support timeline management for assigned IT operational projects.

-  Coordinate with vendors, internal departments, and users to support implementation activities and issue resolution.

-  Prepare meeting minutes, progress reports, and project tracking documentation.

(2)   Workflow & System Support (40%)

-  Support workflow implementation and operational process improvement initiatives.

-  Coordinate user requests, issue tracking, and system enhancement follow-up activities.

-  Assist in User Acceptance Testing (UAT), operational validation, and post-implementation support.

-  Maintain system/process documentation, user guidelines, and operational records.

(3)   Reporting & Information Management (10%)

-  Prepare and maintain operational reports, tracking logs, dashboards, and internal records.

-  Support information accuracy and documentation consistency across operational activities.

(4)   Continuous Improvement & Communication Support (10%)

-  Support process standardization and operational efficiency improvement initiatives.

-  Coordinate communication among internal stakeholders to ensure smooth operational execution and timely follow-up.

 Working Relationship:

Internal:

•    IT Planning Department

•    Finance / Accounting Department

•    HR&GA and other related internal departments

•    Business users and related operational stakeholders

External:

•    External vendors and service providers related to IT operations and workflow/system implementation

•    Third-party partners for operational systems, workflow solutions, and communication platform support

Qualification And Experience:

1.   Experience:

-     2–5 years of experience in IT operations, project coordination, system support, business operations, workflow coordination, or related operational roles.

-    Experience coordinating with cross-functional teams and external vendors is preferred.

-     Experience in workflow systems, operational process coordination, or system implementation support is an advantage

2.   Qualifications:

a.   Required Qualifications

-     Intermediate‑level English reading and writing skills sufficient for business documents and professional email communication (mandatory).

-     Solid PC skills, including Microsoft Excel, Word, and Outlook.

-     Good understanding of operational workflows and coordination processes.

-     Familiarity with workflow systems, ticketing systems, or operational tracking tools is preferred.

b.   Soft Skills:

-     Strong coordination and communication skills.

-     Good organizational and follow-up capability.

-     Detail-oriented with strong documentation discipline.
