JOB PURPOSE:

Manage and coordinate logistics, shipment planning and export documentation activities to ensure on-time delivery, cost efficiency, operational accuracy and compliance. Work closely with Sales, Production, Logistics Partners and relevant departments to ensure smooth and effective export operations.

1. Shipment Planning & Coordination

• Monitor export orders, booking status, raw materials and packaging availability to ensure shipment readiness.
• Develop and update weekly, monthly and quarterly shipment plans in alignment with customer requirements and production capacity.
• Track actual shipment performance, prepare periodic reports and proactively resolve issues affecting delivery schedules.
• Coordinate with relevant departments to address supply shortages and operational disruptions.

2. Logistics & Transportation Management

• Coordinate with shipping lines, freight forwarders, transport providers and barge operators.
• Manage vessel bookings, obtain and update freight quotations, and negotiate competitive transportation rates.
• Monitor transportation expenses and freight charges; ensure cost accuracy and timely payment processing.
• Handle logistics incidents, operational disruptions and unexpected changes to minimize cost and delivery risks.

3. Export Documentation Team Management

• Supervise the export documentation team and ensure timely, accurate and efficient document processing.
• Standardize and continuously improve documentation procedures, guidelines and departmental working practices.
• Coordinate cross-functionally to ensure timely information exchange and effective issue resolution.
• Provide onboarding, coaching and professional guidance to team members when required.

4. Cost Control & Risk Management

• Analyze logistics cost variances, identify root causes and recommend preventive actions.
• Support the resolution of customer complaints and inquiries related to logistics.
• Monitor freight costs against applicable sales order information to prevent freight losses.
• Identify operational risks and propose appropriate mitigation measures.

5. Systems, Reporting & Process Improvement

• Maintain accurate and timely operational data in SAP/ERP systems.
• Prepare regular reports on shipment status, logistics costs, operational risks and improvement opportunities for management.
• Coordinate with IT and relevant departments to resolve system issues and participate in related system improvement projects.
• Recommend process improvements to enhance productivity, service quality and cost efficiency.

• Experience using SAP/ERP systems or Transportation Management Systems (TMS) is an advantage.

K – KNOWLEDGE

• Good understanding of logistics, domestic and international transportation, and export operations.
• Knowledge of vessel booking, container transportation, warehousing and related logistics procedures.
• Basic to good understanding of Incoterms, international freight, cargo insurance and international trade regulations.
• Knowledge of logistics cost control, transportation KPIs and logistics service provider evaluation.
• Understanding of applicable regulations governing logistics, transportation and international trade.

E – EXPERIENCE

• Bachelor's degree or college diploma in Logistics, International Trade, Transportation Economics or a related field.
• At least 2–3 years of relevant experience in logistics, transportation coordination or import-export operations.
• Experience working with shipping lines, freight forwarders or import-export companies is preferred.
• Experience in SAP/ERP systems is an advantage.
• Experience supervising or coordinating a documentation team is preferred.
