Position Summary

We are seeking an experienced, results-driven <ins>Head of Project Management<ins> to serve as the critical control point connecting our Production with our Sales teams and major international retailers. In this leadership role, you will oversee end-to-end order management from start to finish, ensuring seamless execution, process improvements, and operational efficiency.

You will manage a team of 3 - 5 specialists, host vital cross-functional alignment meetings, and act as a primary communication bridge for major retailers. Due to the complexity of multi-categories manufacturing and time-sensitive shipping schedules, we are looking for a strong problem-solver and analytical thinker who can not only provide short term fixes, but also long term sustainable solutions, which leads to company to the next level.

Key Responsibilities

1. End-to-End Order Control

• Thorough understanding of how each milestone works. Develop SOP to flag risk of delay, discuss with internal stakeholders to resolve issues in a timely manner

• Set up and maintain new product programs on major customer portals

• Develop charts, trackers, and documentation to monitor key order milestones and production progress

• Identify operational bottlenecks ("chokepoints"), provide clear visibility, and proactively escalate issues to management team

2. Cross-Functional Leadership & Alignment

• Host and lead critical cross-functional meetings—including Order Validation sessions prior to accepting orders, to evaluate manufacturing feasibility, margin health, and lead times.

• Proactively monitor internal capacity vs order intake to identify risk factors

• Work closely and collaboratively with Production, Sales, Quality Assurance (QA), and other internal teams to resolve roadblocks.

• Rapidly escalate signs of potential delays and coordinate corrective action plans.

3. Client Communication & Data Translation

• Serve as a primary point of contact for major retail clients, communicating professionally and transparently.

• Address client inquiries regarding production capacity, lead times, quality standards, and corrective actions in a timely manner.

• Transform complex internal manufacturing data into clean, structured formats required by major retailers.

4. People Leadership & Management

• Lead, mentor, and develop a team of 3 – 5 project/order management professionals.

• Drive a culture of accountability, precision, and result-oriented execution.

• Build scalable processes and frameworks as the department and company expand.

Experience & Background

• Industry Experience: Proven experience working within manufacturing, supply chain, or project management environments—relevant manufacturing experience is a must. <ins>Specifically we are looking for knowledge on timber, handicraft, and ceramic products.• Retail Account Experience: Demonstrated hands-on experience working directly with major Tier-1 retailers (e.g., Walmart, Target, Costco, Home Depot, etc.), thorough understanding their compliance, portal management, and lead-time demands.

• Leadership Track Record: Proven success in leading, coaching, and motivating a small team.

Skills & Competencies

• Communication & Language Proficiency: Exceptional written and verbal English communication skills, with the ability to articulate complex concepts clearly to both factory floor teams, internal stakeholders, and external retailers.

• Advanced Technical Skills: Advanced proficiency in Microsoft Excel (specifically Pivot Tables, VLOOKUPs, and data modelling) and data visualization tools.

• Analytical & Problem-Solving Mindset: Highly analytical ability to translate messy, complex manufacturing data into simple, actionable insights. Exceptional problem-solving skills to navigate production nuances and time-sensitive shipping pressures.

• Result-Driven: Highly organized, proactive, and focused on meeting timelines, safeguarding margins, and driving cross-functional efficiency.
