Job Overview:

This position supports the transformation of the IT department at MUJI into a reputable IT service center by overseeing the daily administration and continuous improvement of the IT service management platform. Furthermore, the role involves managing IT projects within the portfolio coordinated by the IT Manager, ensuring timeline, transparent reporting, and the delivery of measurable business outcomes.

Scope of work and responsibilities:

• Maintain/Improve the service catalogue, request forms, categories, priorities, assignment rules, groups, SLAs, notification templates, approval flows, and end-user portal content in alignment with approved operating processes.

• Make the store the target, proactively listen to and collect user feedback and propose future improvement or development ideas for systems and applications.

• Drive the management of source code repositories as company assets, ensuring proper governance and readiness for future in-house development.

• Monitor project progress, follow up on tasks, and support resolution of delays to ensure project delivery according to plan.

• Manage Change Requests (CR): record, track, support impact assessment, and coordinate approval and implementation.

• Prepare periodic reports, including weekly and monthly progress updates, highlighting status, risks, and key issues.

• Proactive organization of project meetings (kickoff, progress updates, demo) and follow up on action items.

• Responsible for handling contract procedures and payments falling under the scope of one's own team.

Ability, knowledge and skills required for work:

• Working knowledge of IT service management practices, including incident management, service request management, knowledge management, service catalogue, SLA monitoring, and continual improvement.
• Experience with ManageEngine ServiceDesk Plus or a comparable enterprise service-management tool is strongly preferred.
• Strong coordination and follow-up skills, with the ability to manage multiple workstreams and maintain accurate documentation.
• Analytical thinking and practical problem solving using service and project data, not assumptions.
• Clear business communication in English for meetings, emails, reports, and vendor coordination
• Proficiency in Microsoft 365 tools; experience with Power BI, Power Automate, SharePoint, or Teams-based workflows is an advantage.
• Careful, service-minded, proactive, and accountable, with the confidence to escalate issues early and constructively.

Experience:

• 3–5 years of experience in ITSM or project management.
• Experience in implementation or enhancement of systems such as POS, ERP, CRM, mobile app, or internal systems is an advantage
• Experience working with cross-functional teams and vendors.
• Experience in retail or multi-system environments is an advantage.
• Fluent English
• Knowledge of Japanese is an advantage.
