1. POSITION OVERVIEW

This role owns end-to-end order and shipping execution, leading both the Order Team and Shipping Team. It acts as the key liaison between US HQ, Vietnam furniture suppliers, QA/QC and logistics providers. The position ensures smooth handover between order and shipping functions, and drives on-time, compliant shipments to the US.

2. KEY RESPONSIBILITIES

Order & Production Management

• Receive POs from US HQ, allocate orders to Asian suppliers and lead the Order Team to track production, lead time and ship-by dates for on-time delivery.
• Coordinate with QA/QC to align production progress with inspection milestones; flag risks early.
• Maintain accurate PO, backlog and open order data, keep SAP and shipping information consistent.

Shipping & Logistics Operations

• Supervise Shipping Team, review weekly/monthly shipping plans.
• Work with carriers and forwarders to secure space and manage container supply.
• Approve shipping documents: Commercial Invoice, Packing List, B/L, C/O, ISF, Lacey Act declaration, CPSC if applicable.
• Resolve shipment delays, cargo damage claims and freight reconciliation; assign follow-ups to the Shipping Leader.

Cross-team Alignment (Order & Shipping Team)

• Establish handover SOP between Order and Shipping teams. Order team shares ready-to-ship info; Shipping team feeds back cutoff, vessel schedule and space constraints.
• Run regular sync meetings, resolve gaps including ready date mismatch, post-booking order changes and marking/document revisions.
• Ensure data consistency between PO, packing list and loaded cargo.

Team Leadership

• Manage, coach and set KPIs for the Order Team, Shipping Team and Shipping Leader.
• Delegate daily shipping execution to the Shipping Leader; only high-risk items escalate to this role.
• Build and optimize SOPs for PO processing, inspection, booking, documentation and shipment closeout.

Education: Bachelor’s degree in International Trade, Logistics, Supply Chain Management or related fields.

Experience:

• 5–7+ years export order & ocean shipping experience, with solid hands-on experience in full-cycle order management: PO intake, validation, order allocation, factory schedule tracking, order change control, backlog and due list monitoring.
• 2–3+ years management / team lead experience in Vietnam Rep. office, trading firm or furniture factory.
• Mandatory: Solid hands-on experience in wooden furniture export to US market, with experience managing order and shipping sub-teams and a Shipping Leader.

Technical Skills:

• Familiar with US trade and related compliance.
• Existing network with ocean carriers and forwarders for US lanes.
• Able to set handover controls between Order and Shipping teams.

Competencies:

• Fluent English (written & spoken) for communication with US HQ.
• Strong negotiation, problem-solving and conflict resolution skills.
• Leadership to manage two sub-teams and coordinate cross-team work.
• Able to work under pressure; proficient in SAP and advanced Excel.
