Job Overview

St. Paul American School Hanoi is seeking a dedicated, dynamic, and bilingual Japanese Admissions & Community Liaison. In this multifaceted role, you will serve as the primary bridge between St. Paul American School Hanoi and prospective/current Japanese families. You will drive student enrollment, manage targeted marketing initiatives within the Japanese demographic, and proactively foster a strong, connected, and supportive Japanese school community.

Key Responsibilities

1. Admissions & Family Consultation

Inquiry & Consultation Management: Serve as the primary point of contact for Japanese inquiries; conduct personalized consultations and school tours in Japanese and English to explain the school’s American curriculum, values, and offerings.

Family Onboarding & Pipeline Follow-Up: Maintain active communication with prospective families throughout the admissions pipeline (from initial inquiry to application, testing, and enrollment), providing guidance and support at each step.

New Family Support: Facilitate smooth onboarding and integration for new Japanese families to ensure a welcoming transition into the school community.

2. Japanese Community Building & Engagement

Community Connection: Actively engage with Japanese parents, organizing community coffee mornings, orientation sessions, and cultural events to foster a sense of belonging.

Parent Liaison & Support: Assist current Japanese families with feedback, non-academic inquiries, or transition concerns, serving as an empathetic representative of the school administration.

Parent Association Collaboration: Partner with the Parent-Teacher Association (PTA) or Japanese parent representatives to strengthen school-home partnerships.

3. Marketing, Outreach & Fairs

External Outreach & Fairs: Research, identify, and represent St. Paul American School Hanoi at relevant Japanese educational fairs, expat expos, and local community events.

Market Insights: Stay updated on trends, needs, and preferences within the Japanese expat community in Hanoi/Vietnam to inform school outreach strategies.

Targeted Marketing Campaigns: Collaborate with the Marketing team to develop promotional materials, social media posts, and advertising tailored to Japanese media outlets, channels, and expat publications.

4. Translation & Communication

Translation Services: Translate key school announcements and promotional collateral between Japanese and English (or Vietnamese).

Interpreting: Provide high-quality consecutive interpretation during parent-teacher conferences, admissions meetings, or school-wide events as needed.

5. Eiken Test Coordinator

EIKEN Test Coordination: Serve as the school’s primary point of contact and coordinator for the Eiken Test in Practical English Proficiency, should St. Paul be approved as an authorized testing site, supporting communication, registration, scheduling, and test-day logistics.

Work Conditions

Full-time, on-site position at St. Paul American School Hanoi.

Occasional evening or weekend attendance may be required for school events, including educational fairs, Open Houses, and community events.

Qualifications & Requirements

Education: Bachelor’s degree in Communications, Marketing, Business Administration, Languages, Education, or a related field.

Language Proficiency:

Japanese: Native or near-native fluency (JLPT N1 equivalent) with strong written and verbal business etiquette.

English: High proficiency in spoken and written business English.

Vietnamese: Working proficiency is an added advantage.

Experience: Minimum 2–3 years of experience in customer service, marketing, public relations, communications, or a related field, ideally within an international school, educational institution, or Japanese corporate environment. Prior experience in school admissions is a strong advantage.

Skills & Attributes: Exceptional interpersonal, communication, and presentation skills.

Deep cultural understanding and empathy toward Japanese expat families relocating to Vietnam.

Strong organizational and multi-tasking skills with a proactive, self-starter mindset.

Proficiency with MS Office / Google Workspace, and social media platforms.
